A coaching business with a bigger idea: a platform where every coach gets their own branded website, client portal and billing. We built it as one system serving many coaches, each with a home of their own.
The goal: give every coach their own corner of the internet, without rebuilding it each time.
The challenge. Independent coaches usually stitch together a website builder, spreadsheets, a messaging app and a payments page. Each coach rebuilds the same patchwork, and their clients feel the joins.
What we did. We built one platform that gives each coach all of it under their own name: a landing page they edit themselves, a client portal, weekly plans, workouts, habits, nutrition, messaging and billing. It's a single system serving many coaches, with each coach's page and clients kept entirely their own.
Log a workout as a client in tab two, then see it appear on the coach's dashboard. Change the landing page in tab three. Switch addresses in tab four to see multi-tenancy at work.
Plan each week, publish it, and keep the conversation in one place.
Workouts are copied from the template, so editing one never changes the other. Clients only ever see published weeks.
On their coach's own subdomain, in the coach's own colours.
Every set is its own database row, so progress can be charted over time. Food comes from a searchable food database (by name or barcode) that's cached and rate-limited. Clients see only their own published plan.
Every coach edits their own public page. Changes show instantly on the right.
Click an address. The platform reads it and decides whose page this is.
Try to reach another coach's client from this site:
Recreated from the real platform's screens and rules, with invented coaches and clients.
Each coach gets their own address and a landing page they can edit, with their own words, offers and accent colour.
Plans, workouts, food, habits, forms and messages all live in one portal, instead of five different apps.
Weekly plans are built from templates and published when ready, and feedback happens in the same place as the plan.
A new coach signs up, starts a free trial and has a working page and portal, with billing handled by Stripe when they subscribe.
Headline, about, offers, testimonials, FAQs, images and an enquiry form, with the coach's own accent colour. Enquiries land as leads.
Monday-to-Sunday plans per client, published when ready, with a two-way feedback thread on the week or a single day.
An exercise library and templates for strength sessions and runs (pace, intervals, distance). Clients log every set and rate effort.
Food logging with a searchable database and barcode lookup, macro targets, bodyweight tracking and progress photos.
Daily habits with streaks, to-do tasks, and custom check-in forms the coach designs and assigns.
Coach and client message each other in the portal, with a calendar of what's coming up and email notifications.
Clients join through a private invite link, and each coach's clients stay entirely separate from every other coach's.
Coaches start on a free trial and subscribe through Stripe, with their subscription status kept in sync automatically. Card details never touch the platform.
Every coach gets a subdomain. They can also point their own domain at the platform and keep everything else the same.
Everyone runs on a single shared platform, so every improvement reaches every coach at once and there's nothing separate to maintain per coach.
A coach and their clients only ever see their own page, plans and messages. Separation between coaches is part of the design from the ground up.
Assigning a workout copies it from the template, so changing a template later never rewrites a client's history. Every logged set is its own record, which makes progress easy to chart.
Billing runs through Stripe, so the platform never handles card details, and a coach's subscription status always matches what Stripe says.
Food lookups come from an outside database and are managed carefully, so the app stays quick and the integration stays within the provider's limits.
Documented from end to end, including how to set it up for testing, so it's straightforward to move, scale or hand over.
Platforms, portals and multi-user apps are exactly where a bespoke build earns its keep. Let's talk it through.
